Flag Duplicate and Stale Partner Contacts with Gemini in Sheets

What This Does
Partner contact lists drift. Someone changes jobs, gets a new title, or ends up entered twice after two different reps added them separately. Gemini in Sheets can scan an exported contact list and flag likely duplicates and outdated entries so you're reviewing a short list instead of scanning every row yourself.
Before You Start
- You have a Google Workspace account with Gemini enabled (Business Standard, $14/user/month)
- You've exported your partner contact list from the CRM into a native Google Sheet
- Columns are reasonably consistent: name, title, company, email, last-updated date
Steps
1. Open the Gemini panel on your contact sheet
With the exported list open, click "Ask Gemini" in the top right of the spreadsheet.
2. Ask it to flag, not fix
Type an instruction like: "Review this contact list and flag likely duplicate entries and any row with a title or company that looks outdated. Don't delete or merge anything, just flag rows for me to review." Gemini in Sheets can clean and structure data directly, but for a list this consequential, flagging first keeps you in control of what actually changes.
3. Review the flagged rows
Gemini writes its findings in the side panel or a new column you specify. Go through the flagged rows one at a time. Confirm real duplicates, correct outdated titles, and leave anything ambiguous for a manual check rather than trusting an automated merge.
Real Example
Scenario: Your partner contact list has grown to several hundred rows across two years of reps adding entries independently, and you want it clean before a quarterly outreach push.
What you type/do: "Review this list and flag likely duplicate entries (same person, different email or slight name variation) and any contact whose title or company looks stale. List them in a new column, don't change anything automatically."
What you get: A flagged subset, maybe 20-30 rows out of several hundred, ready for a focused 15-minute review instead of a manual scan of the entire sheet.
Tips
- This list contains personal information about people at partner companies: names, titles, direct emails. Run the cleanup from your company Workspace account, and don't let the AI infer or guess contact details it wasn't given. Flagging is safe; auto-filling invented information is not.
- Confirm every flagged duplicate before merging or deleting. Two people at the same partner company can have very similar names, and a false merge quietly drops a legitimate second contact.
- Run this cleanup on a schedule, quarterly is usually enough, rather than only when the list has gotten bad enough to notice.
Tool interfaces change. If a button has moved, look for similar Ask Gemini or AI options near the top right of the Sheets toolbar.
