What This Does

Raw notes from a partner call rarely turn into a clean action list on their own. Someone has to reread them and pull out who owes what by when, and that step is the first thing to get skipped when the next meeting starts in five minutes. Gemini in Docs can extract action items with suggested owners and deadlines directly from notes you've already typed.

Before You Start

  • You have a Google Workspace account with Gemini enabled (Business Standard, $14/user/month)
  • Your call notes are already in a Google Doc, even in rough bullet form
  • You've noted who attended the call, since Gemini can only assign owners it can see mentioned in the notes

Steps

1. Open the AI panel in your notes doc

With your notes open, click the sparkle icon (often labeled "Ask Gemini") near the top right of the toolbar, or use the "Help me write" prompt if you're starting a fresh doc.

2. Ask for action items, not a summary

Be specific about the output you want: "Pull out every action item from these notes as a list, with the person responsible and any deadline mentioned. Flag anything that needs a deadline but doesn't have one yet."

3. Refine and fill gaps

Use the follow-up controls, Shorten, Elaborate, Rephrase, or a custom instruction, to adjust the list. Then do the one thing Gemini can't: fill in owners or dates that were implied on the call but never said out loud in the notes.

Real Example

Scenario: You just finished a scoping call with a prospective integration partner and have fifteen minutes before your next meeting.

What you type/do: Paste your raw notes into a Doc and ask: "Pull the action items from these notes, list the owner and deadline for each, and flag anything missing a deadline."

What you get: A short list, three items assigned to your side, two to the partner's product lead, one flagged as missing a date, ready to drop into a follow-up email in the two minutes before your next call starts.

Tips

  • If a partner's call notes mention specific terms discussed under NDA, pricing, resourcing commitments, exclusivity language, strip those lines before pasting the full notes in, or keep the action-item ask narrow enough that Gemini doesn't need to repeat the sensitive detail back to you.
  • Compare the generated list against your own notes once before sending it anywhere. A dropped action item is recoverable. An action item assigned to the wrong owner tends to just quietly not get done.
  • Save the prompt wording once it works well. The same instruction applies to every partner call, so there's no reason to rewrite it each time.
