What This Builds

Two problems, one build. First, partner health scorecards go stale between quarterly reviews because updating them means a manual pull from the PRM. Second, leadership wants a weekly pipeline summary that currently gets typed by hand every Friday. This build configures your PRM to refresh scorecard metrics on a schedule, then has a Zap pull the current numbers every Friday, ask Claude to turn them into a short plain-language digest, and route that draft to you for a final check before it reaches leadership's inbox.

The Concept

A scorecard that only updates at QBR time is like checking your bank balance once a quarter. Trouble can build for weeks before anyone notices. Auto-refreshing the scorecard on a schedule turns a snapshot into something closer to a running total, and the weekly digest is just that running total, written in plain sentences instead of a spreadsheet, landing in a leader's inbox without anyone having to remember to send it.


Build It Step by Step

Part 1: Configure the scorecard refresh in your PRM

Inside PartnerStack (or your PRM's reporting section), find the scheduled report or dashboard refresh setting. Configure it to recalculate your partner health metrics, engagement level, pipeline contribution, activity recency, on a recurring schedule, weekly is typical. Confirm which metrics actually feed your definition of "healthy" versus "at risk," since PRMs vary in what they track natively and you may need to combine two or three fields yourself.

Part 2: Build the Zap that reads the refreshed data

In Zapier, set a Schedule by Zapier trigger for Friday mornings. Add an action step using your PRM's Zapier integration (or a webhook if no native app exists) to pull the current scorecard values and the week's pipeline movement across all active partners.

Part 3: Draft the digest with Claude

Add a Claude step with a prompt along these lines:

points covering the biggest pipeline movements, any partner whose health

Part 4: Route the draft to yourself first

Have the Zap send the drafted digest to your own email or a private Slack channel, not directly to leadership. Review it, correct anything Claude misread, and forward it yourself, or adjust the Zap once you trust it consistently to send straight to leadership with you cc'd for the first several weeks.


Real Example: Friday digest for the VP of Sales

Setup: PartnerStack scorecard refreshes every Monday. Zap runs Friday mornings pulling that week's scorecard snapshot plus pipeline changes across 18 active partners.

Input: One partner's health score dropped from "healthy" to "watch" after two months without a logged partner-sourced deal, while another partner's pipeline jumped by $45K after a new reseller agreement.

Output: A five-bullet digest flagging both changes in plain language, with the declining partner named first since that is the item a leader needs to act on.

Time saved: Removes roughly 30-45 minutes of manual weekly report writing, and surfaces a declining partner relationship weeks before it would otherwise surface at the next QBR.


What to Do When It Breaks

  • The scorecard refresh silently stops running in the PRM → this is the failure mode you will not notice from the Zap side at all, since Zapier will keep pulling whatever the last cached values were and never throw an error. Spot-check one partner's raw activity in the PRM against the scorecard number monthly to confirm the two still match.
  • The Zap runs but Claude's digest reads generic or vague → the data pull probably returned fewer fields than expected. Check the raw data passed into the Claude step in Zapier's task history before assuming the prompt is the problem.
  • A partner's health score flips categories every week for no real reason → the underlying metric weighting is probably too sensitive to a single data point (one skipped check-in call, for example). Adjust the PRM's scoring configuration rather than trying to fix it downstream in the digest.
  • Leadership starts asking about a number in the digest you cannot explain → treat this as your cue to stop auto-forwarding and go back to manual review for a few weeks until you trust the pipeline again.

Variations

  • Simpler version: Skip the PRM auto-refresh configuration and just have the Zap pull a manual scorecard export on a schedule. Less real-time, but works if your PRM does not support scheduled refresh.
  • Extended version: Add a branch in the Zap that sends an immediate alert (separate from the weekly digest) any time a partner's health score drops two tiers in a single week, so a serious decline does not wait for Friday.
